What we collect from parents and advisors, why, who sees it, and how to have it corrected or deleted. In short: we collect what we need to run certification and the registry, we never sell it, and only the details a certified advisor puts on their public profile are public.
1.Who we are
The Sports Advisors Board certifies family advisors in youth and amateur sports, starting with hockey, and runs a public registry where parents can confirm an advisor is certified. This policy covers this website, the free parent course, and the advisor certification program.
2.What we collect
From parents taking the free course
- Your email address and state or province.
- How you heard about us, including an advisor's name if you give one.
- Which parts of the course you've completed.
From advisors applying for certification
- Your name, email, phone number, city and state or province.
- Your background: current role, years of experience, the teams and organizations you've worked with, how many families you advise, and your website or LinkedIn if you give them.
- Your answers to the compliance questions (sports agent registration and any sanctions or legal action), with any details you add.
- Two references: their names, contact details and how they know you.
- A headshot, if you upload one.
- When you agreed to the code of conduct and consented to a background check.
While you work toward and hold certification
- Which curriculum slides you've viewed and how you answered the scenario questions.
- Your exam attempts: the questions served, your answers and your score.
- Your background check status (for example, in progress or clear) and the provider's reference number. The report itself stays with the background check provider.
- Your payment status, amount paid and renewal dates. Card details are handled by Stripe; we never see or store your card number.
- Anything you add to your public profile, such as a bio or public contact details.
Collected automatically
- A sign-in cookie that keeps advisors signed in.
- A cookie that remembers a parent has signed up for the free course, kept for up to a year.
- Your narration on/off setting for the courses, saved in your own browser.
We don't use advertising cookies or third-party tracking, and we don't collect information about players.
3.What is public
Once an advisor is certified, their profile appears in the public registry. It shows their name, photo, city and state, role, years of experience, teams and organizations, bio, website and LinkedIn, their certification ID and date, the number of families they work with through Board agreements, and any public email or phone they choose to add.
Never public: the email and phone number on an application, references, compliance answers, exam results, background check details and payment information. Parents' information is never public.
4.How we use it
- To review applications, run the certification program and issue certifications.
- To show certified advisors in the registry so parents can verify them.
- To send sign-in links, course access and messages about your application or certification.
- To process payments and annual renewals.
- To look into complaints and enforce the code of conduct.
- To understand how people find us and improve the courses, using totals rather than individuals.
6.How long we keep it
We keep advisor records while an application or certification is active, and afterward only as long as we need to for certification history, disputes and legal obligations. Parent course records are kept until you ask us to delete them.
7.Your choices
- Advisors can update their public profile at any time from the profile editor. Public email and phone are optional and can be removed.
- Anyone can ask us for a copy of their information, or to correct or delete it, by emailing hello@sportsadvisorsboard.com. Deleting an advisor's record ends their certification and removes them from the registry.
8.Children
This site is for parents and advisors. It isn't meant for children under 13 and we don't knowingly collect their information. If you think a child has given us information, email us and we'll delete it.
9.Security
Access to private information is limited by role: the public site reads only the public registry, and private records are reachable only from our own servers. Exam questions and answers are never sent to the browser. No system is perfectly secure, so if you suspect a problem with your account, contact us.
10.Changes to this policy
We'll update the date at the top when this policy changes, and email certified advisors about significant changes.
